Automatic invoice entry for accounting firms

They arrive straight from your inbox or you upload them yourself (photo, PDF or scan), and come out ready for your accounting software.

The problem

  • Clients send invoices in any format: badly framed WhatsApp photos, PDFs and low-quality scans.
  • Most arrive by email, mixed in with everything else in the inbox, and someone downloads them one by one to drop into a folder.
  • Before they reach Sage, A3 or Holded, someone sorts them, renames them, identifies the client and types the fields in by hand.
  • Each document costs between 5 and 10 minutes, and one slip in the tax ID, the date or the IGIC ends up as an accounting error.
  • It does not scale: more clients means more hours of typing, not more margin.

The solution

  • It connects to an email inbox and picks up attached invoices as they arrive, without anyone downloading them by hand.
  • It reads the document with AI vision, even when the photo is poor quality.
  • It detects the type (invoice, receipt, delivery note) and which client it belongs to.
  • It extracts issuer, tax ID, date, number, tax base and IGIC broken down by rate (0/3/7/9.5/15%).
  • It checks that the amounts are consistent and flags anything doubtful for a human to review.
  • It exports a CSV ready to import into your accounting software.

How it works

From any document to data ready to use.

    Ingestion

    Picks up attachments straight from the email inbox and also accepts JPG, PNG and PDF uploaded by hand. It normalises each image (orientation and size) to read it reliably even when it arrives skewed or poorly lit.

  2. 02

    Classification

    Identifies the document type and the client it belongs to, with a confidence level attached.

  3. 03

    Extraction

    Pulls out the key fields and breaks down the Canarian IGIC by rate. It does not make up figures: anything doubtful is left flagged as a warning.

  4. 04

    Export

    Generates a validated CSV, ready for Sage Despachos, A3 or Holded. No renaming, no typing.

Who it is for

  • Small and medium accounting and advisory firms (10-100 clients).
  • A high volume of documents each month that are processed by hand today.
  • Canary Islands: the IGIC is handled natively, broken down by rate (0/3/7/9.5/15%), not as a VAT bolted on at the last minute.

When it is not the best fit

  • Very low volumes, where the setup time does not pay off.
  • Highly complex operations (intra-community, triangular) that call for expert tax judgement.
